Do and charge

Do and charge: do the work, then bill it

A do-and-charge job is work you do first and bill afterwards, at your rates, with no fixed price up front. In Sammy you log the job in a few taps and send your tech the job card. They log their hours, parts and photos from their phone, you approve it, and the work goes on a sheet you invoice whenever you like.

What is a do-and-charge job?

A client rings, the alarm’s gone off, a tech goes out, and you invoice the hour, the callout and the parts. There’s no quote to accept first. Some trades call it charge-up or service work.

Sammy has two kinds of job. A fixed price job is one you quoted and the client accepted, and you bill the accepted price or claim it in stages. A do and charge job has no quote: your crew logs what they did, you approve it, and you bill the work done. Everything else is the same, like the site, who to call, the job card, the photos, the costs and the documents.

How it works

  1. Log the job. Tap + New, then Log a won job, and choose Do and charge. Sammy remembers your choice for next time.
  2. Say what the tech has to do. Write it or dictate it, and add the client, the site and their PO number if they gave you one. A short title like “Call-out, 12 Smith St” helps when the same client has a dozen jobs on the go.
  3. Send the job card. Your tech gets a link that opens on their phone with no login: what to do, the site with directions, who to call, and a place to log the work.
  4. Your tech logs what they did. A note or a voice message, their hours, the parts they used, and photos of the job and the docket from the wholesaler.
  5. Sammy reads it into lines. Labour, materials and other, at your rates. You check them, fix anything and tap Approve.
  6. Invoice the work done. Every approved line goes onto the invoice, itemised, with the PO number as the reference.

What Sammy reads out of an update

  • Labour. The hours, priced at the job’s charge-out rate, your labour rate rules or your connected system’s charge-out. If there’s none, he asks you once.
  • Materials. What they bought, at the figure they gave, with your usual materials markup. A docket in the photos is read too, without counting the same part twice.
  • Other. A callout, parking or tip fees. Sammy leaves a callout at $0.00 for you to price unless the tech said what it was.
  • What he wasn’t sure of. Listed underneath, like “The note didn’t say how many keys”, so you can check before you approve.

Approving does two things at once. The hours and materials go into the job’s costs at what they cost you, and the same lines go onto the work-done sheet at what you charge. Untick Bill on any line you don’t want to charge for.

Bill it when it suits you

The job shows what’s billable so far: everything approved and not yet invoiced. Tap Invoice work done after every visit, or let the sheet build up and bill it once a month. Once it’s invoiced, the sheet closes and the next approved update starts a new one. Before you invoice, you can edit the lines, add one by hand, or ask Sammy to adjust them, the way you would on a quote.

If you want your rates sheet or the client’s work order signed before you start, send it for signature from the job’s Terms card, or just mark it as agreed. Crew updates work on your quoted jobs too, where they record your costs against the budget. See job costing and job cards.

Questions tradies ask

Do my techs need a login?

No. The job card opens on their phone from the link. The first time they send an update they type their name and number, and their phone remembers it.

Do my techs see my prices?

No. They never see prices. They send what they did, and the pricing happens on your side when you approve it.

Are voice messages kept?

No. Recordings aren’t stored. Only the words Sammy wrote out are kept, and the tech can read and fix them before they send.

Can I switch a job between fixed price and do and charge?

Yes, from the job’s menu under Change billing basis. If there’s approved work that isn’t invoiced yet, switching to fixed price keeps the sheet but hides Invoice work done until you switch back.

Is there a budget on a do-and-charge job?

No. There’s no quote, so there’s no contract sum or budget. The costs show what you’ve spent, and what you bill is on the work-done sheet.
