Job cards: send your crew the job, not your prices
A job card is the job the way your crew or subbie needs it: where to go, who to call, the work, the plan, the photos and documents like your SWMS. In Sammy every job has one. Send it as a link that opens on their phone with no login, or print it as a PDF. It shows no prices unless you choose to.
What is a job card?
A job card, or job sheet, is the one page your crew or subbie works from on site. It’s not the quote. Your client’s quote has your prices and your terms on it; the job card has the address, the gate code, the work to do and who to ring if something’s not right.
In Sammy it’s built from the job you won, so you’re not retyping the quote into a text message. It shows nothing about your markup, and nothing you’d mind the client reading over their shoulder.
How it works
- Open the job and tap Job Card. You’re looking at exactly what your crew will see.
- Choose what goes on it. Leave out a whole section, or tap any line, note, task, photo or document to keep it off the card.
- Add who to call. It starts with you. Add the builder’s foreman or the site manager, with their phone and email.
- Tap Share. Copy the link, or send it by text, WhatsApp or email.
- Your crew opens it on their phone. No login, no app to download. They can tap to call you, get directions to the site, see the photos full screen and read the documents.
- They tell you what they did. From the bottom of the card they send a note or a voice message, their hours, the parts they used and photos. Nothing changes on the job until you approve it.
What goes on the card
- The site. The address, a map and the job’s site notes, like the gate code, parking and where the keys are. The client’s details are there too, and you can turn them off if you’d rather your crew didn’t deal with the client directly.
- The work. The scope from the quote, then the labour, materials and other lines your client agreed to, with quantities if you want them. Accepted variations are marked, like “Added in V01”.
- A pick-up list. Materials read as a list with SKUs, grouped by supplier.
- The plan. The project plan’s tasks and dates, with what’s on now.
- Photos and documents. The photos from the proposal, plans from the job’s folder and finished documents like a SWMS. Draft documents and files uploaded to the quote start off the card, because an upload can be a supplier’s quote with their prices on it.
Every section starts with no prices. If you want some money on it, each section can show just the PC and PS allowances the client agreed to, the client’s prices, or your budget so the crew knows what they can spend. A line only ever shows one price, never your price and your cost side by side.
You stay in charge of the link
- Change the card after you’ve sent it and they see the change next time they open it.
- Above the card you can see how many times the link has been opened, and when.
- Turn the link off, or get a new one. Handy when a subbie has finished and still has the gate code.
- When you close or cancel the job, its link stops working for good.
- Tap Download PDF for the card, its photos and its documents in one file, ready to print.
The hours and parts your crew send from the card land on the job as costs once you approve them, so you can see what the job is costing against your quote. See job costing. For call-outs with no quote, the same card is how a tech logs the work you bill afterwards: see do and charge.
Questions tradies ask
Does my crew need a login or the app?
No. Anyone with the link can open the card on their phone without logging in. If they send an update, they type their name and number once and their phone remembers it.
Can my crew see my prices?
Not unless you choose to show them. Every section starts with no prices, and your crew never sees prices on the updates they send.
Can I send it to a subbie?
Yes, it’s made for your crew or a subbie. The Subbie section starts off the card, because its heading tells anyone reading it that the work is subcontracted. Turn it on if they need it.
What if the job changes after I’ve sent it?
A variation your client accepts shows up on the card, and one they haven’t accepted never does. If you change the quote after it’s accepted, the card doesn’t change, so put anything the crew needs to know in the job’s site notes.
Can I print it?
Yes. Download PDF gives you the card, its photos and its documents in one file. Your crew can download the same PDF from the link. Videos can’t go in a PDF, so it says how many are on the link.
