Quote signatures
Digital signatures on quotes: get the job signed, not just accepted
Ask your client to sign your quote when they accept it. They open the proposal on their phone, draw their signature with a finger or type it, and confirm. Sammy fills in the acceptance block, adds a Certificate of Acceptance, and emails the signed PDF to them and to you.
Accepted or signed: what’s the difference?
An accepted quote used to tell you one thing: someone clicked Accept. Not who, and not with what authority. Now every acceptance in Sammy has a name on it. Before your client can accept or decline online, they enter their name, and their position and email if they like. That name shows on the estimate, in Messages and on the client’s activity timeline.
A signature goes a step further. Your client draws or types their signature and confirms an acceptance statement, and you both get a signed copy of the quote. Without the signature turned on, Sammy still records who accepted, but there’s no electronic signature or signed copy.
How it works
- Turn on the signature before you send. Switch on Require a signature to accept in the quote’s proposal options, or make it the default for every new quote under Settings, Terms.
- Send the quote as usual. The proposal PDF ends with a blank client acceptance block, with lines for the name, position, signature and date, for a client who’d rather print it and sign.
- Your client signs on their phone. They tap Accept quote, enter their name, then draw their signature with a finger, pen or mouse, or type it and adopt it. They confirm the acceptance statement and submit.
- Sammy makes the signed copy. He fills the acceptance block with their name, position, signature and signing date, and adds a Certificate of Acceptance. The original proposal is kept exactly as you sent it.
- You both get it. The acceptance emails include the signed PDF for your client and for you. You can download it any time from the estimate, and your client can from their confirmation page.
What you get
- Who accepted, and how. The card at the top of the estimate says it plainly, like “Accepted by Sam Lee (Property Manager) through the proposal link”.
- A heads-up on forwarded quotes. If the person who signs enters a different email from the one you sent the quote to, Sammy shows an email mismatch notice.
- Your own audit copy. Your copy of the signed quote includes technical audit details that aren’t in your client’s copy.
- Phone and purchase-order yeses on record too. Mark the estimate Accepted and add who accepted it, how and when, with the purchase order number and file if there is one.
- Reasons for a no. A client who declines can say why, and it shows with their response.
Bigger job? Get the contract signed too
Once the quote’s accepted, it becomes a job, and on Sammy Pro you can send the job’s contract to be signed in Sammy as well. Your client reads it and signs on their phone or computer, every owner can sign if the home is jointly owned, and you counter-sign. The signed copy stays on the job and is emailed to everyone, with no printing or scanning. See job costing for what else lives on the job.
Your client can agree to how you’ll be paid at the same moment they accept. Put a payment schedule on the quote and it’s saved with their acceptance.
Questions tradies ask
Do I have to ask for a signature on every quote?
No. Turn it on for a single quote before you send it, or make it the default for new quotes. Quotes you’ve already created keep their own setting.
Can I add a signature to a quote I’ve already sent?
Changing the setting after sending doesn’t change what your client received. Recall the quote and send it again with the signature turned on.
What if my client forwards the quote to someone else?
Whoever holds the link can sign, and Sammy records exactly the details that person enters. He doesn’t check their identity, so the certificate shows the details they gave.
Can my client sign on paper instead?
Yes. When a signature is required, the proposal PDF ends with a blank client acceptance block they can print, sign and scan.
Does marking a quote accepted myself create a signature?
No. Marking it accepted records who accepted, how and when, but it doesn’t create a client signature or a signed copy.
