Supplier pricing
Quote from your supplier price lists, at what you actually pay
Upload your supplier price lists once, and Sammy prices the materials on your quotes from them as he builds the estimate. A matched line uses your real trade price and carries the supplier’s product code, so you can see where every number came from. Your markup, and the price your client sees, stay yours.
What is supplier pricing?
Most quoting apps, and most AI, price materials from an average: what decking or plasterboard usually costs. Your supplier doesn’t charge you the average. You’ve got your own trade account, your own discounts and the brands you always use. Supplier pricing means the quote starts from those prices instead.
In Sammy, a supplier price sets a line’s cost: what the material costs you. Your markup goes on top as usual, so the price your client pays only changes if your cost does. Labour lines are never matched to a supplier, and a line you’ve already priced with a rate rule or a kit is left alone.
How it works
- You add your suppliers. Go to Settings, then Suppliers, and add each supplier you buy from.
- You upload their price lists. A CSV or Excel file with the item, price and unit works, and a SKU column helps. PDF price lists and photos of a price board work too: Sammy reads them in a few minutes and gives you a review screen to check before anything’s imported.
- You describe the job as usual. Sammy builds the estimate and matches its material lines to your catalogue as he goes, pricing them from your lists where he’s confident of the match.
- You check his matches. By default he suggests them on a card in the chat and you apply the ones you want. Switch to auto-apply and he applies the confident matches for you, noted in the version history so you can roll them back.
- The product code goes on the line. A matched line carries the supplier’s SKU and a small tag with the supplier and the date, so a won job walks straight onto a supplier order.
What you get
- Quotes that match your real costs. Material lines use what you actually pay your supplier, not an estimate.
- Good, better and best from your own catalogue. Ask Sammy in the chat for options on any material and he prices each one from your lists.
- A shopping list you can order from. The takeoff shows the matched supplier products, and you can export a purchase list for the job.
- Your client sees a normal quote. SKUs are for you unless you turn on Show SKUs in the proposal options.
- GST counted once. Supplier prices are stored without GST, the same as your estimate lines. If your list includes GST, tell Sammy when you import it and he takes it off.
Your numbers stay yours
Sammy won’t let a price list quietly undo the way you quote:
- A rate you’ve saved, like a $290 delivery fee, wins over a supplier price.
- Your delivery and call-out fees are never swapped for a supplier’s own delivery charge.
- Applying a supplier price changes the cost per unit only. Your quantity and unit stay put.
- A price 100 times the line’s own price or more is blocked, because it usually means a list came in with extra zeros.
- A different product is flagged even when the size matches, like a box of 500 screws for a box of 50, or pine for hardwood. Nothing is ticked until you choose it.
The rest of the quote comes from your rates, your instructions and the jobs you’ve trained Sammy on. See how AI quoting software prices a job for the whole picture. Work you sub out is priced separately, as subbie lines, and is never matched to a supplier.
Questions tradies ask
What file does my price list need to be?
A CSV or Excel file with the item name, price and unit is easiest, plus the SKU if you have it. Sammy also reads PDF price lists and photos. Items with no price, like “POA”, are left out, and he tells you which.
Does Sammy change my quote without asking?
Not by default. He suggests his matches and you apply the ones you want. If you turn on auto-apply, he applies the confident ones and leaves big price drops for you to tick yourself. You can also turn supplier matching off and match by hand.
What happens when my supplier puts their prices up?
Upload the new list into the same supplier and choose Update Existing. Sammy matches each item by its name and pack size, so the price updates instead of adding a second copy.
Can I still pick the product myself?
Yes. Open the Reconcile Suppliers drawer on any estimate to accept, swap or search for a match, change the quantity to suit the pack size, and save a match as a rule so Sammy picks the same product next time.
Will my client see my supplier or my trade price?
No. The supplier price sets your cost, and your client sees your price with your markup on it. SKUs only show on the proposal if you turn them on.
