Quote pipeline
Track every quote, job and invoice on one board
Sammy’s Board view lays out your estimates, jobs and invoices in columns, one for each stage, with a count and a dollar total on every column. You can see at a glance what’s still a draft, what’s sitting with clients, what’s been accepted and what’s been paid, and what your pipeline is actually worth.
What is a quote pipeline?
Your pipeline is all the work between “I’ll send you a price” and money in the bank: quotes you haven’t sent yet, quotes waiting on the client, jobs you’ve won and invoices waiting to be paid. Most tradies keep it in their head or a notebook, which works until a quote goes quiet and nobody chases it. Seeing it by stage tells you where to spend your next hour of admin.
How it works
- Open Projects on a computer. Choose Estimates, Jobs or Invoices at the top of the page.
- Switch to Board. Choose Table or Board at the bottom of the page. Table shows one row per record. Board shows a column per status, each with its count and dollar total.
- Open a finished stage when you need it. Declined, Invoiced, Paid and Closed sit on the right as narrow columns showing just a count. Click one to open it.
- Move work along from the record. The board is for seeing where your work sits. To change a status, open the quote, job or invoice, so sending a proposal or recording a payment still goes through its usual steps.
Sammy remembers whether you like Table or Board, across all three lists.
What you see
- Estimates by stage, from Draft through Sent and Viewed to Accepted, with Declined and Change requested marked in red so you know which need you.
- Jobs from Won to In progress to Complete, with a Contracted column whenever a job has a signed contract and hasn’t started yet. A job’s amount is the total of the estimate your client accepted.
- Invoices from Draft and Sent to Paid, with Overdue in red.
- One set of colours. Green means it got where it was meant to, red means it may need you, grey is everything in between.
- Where everything came from. Job and invoice lists show the estimate each one came from, and searching an estimate number finds its jobs and invoices.
Accepted quotes don’t just sit in a column. Each one becomes a job, with its own budget for job costing and its progress claims ready to invoice. Quotes that go quiet can be chased for you with automatic follow-ups, and invoices with payment reminders.
Questions tradies ask
Does the board work on my phone?
The Board view is on a computer. On your phone, Projects shows one list at a time, Estimates, Invoices or Jobs, with the same search, filters and sorting.
Can I drag a quote to a new column?
No. Open the record and change it there, so a proposal still gets sent and a payment still gets recorded properly.
Can I see just the big quotes waiting on clients?
Yes. Use Filter & sort to pick a status and an order, like Sent estimates by highest value, or invoices by the earliest due date. Each list remembers its own choices.
Where did the Invoices button go?
Your invoices live in Projects now, beside your estimates and jobs. There’s no separate Invoices item in the sidebar.
